Customer profiles, timeline tracking, and CRM status lifecycle management

Customer Hub

The Customer Hub is the central place for managing customer relationships. Each customer profile aggregates contact details, activity history, linked opportunities, and status information.

CRM Status Lifecycle

Customers progress through stages as the relationship develops:

Status Definitions

StatusDescription
LEADInitial contact, not yet qualified
PROSPECTQualified lead with potential interest
ACTIVEEngaged in active discussions or transactions
CUSTOMERHas completed at least one deal
INACTIVENo recent activity or engagement
CHURNEDRelationship ended, no longer a customer

Customer Profile

Each customer profile contains:

Contact Information

  • Company name and legal details
  • Primary and secondary contacts
  • Email addresses and phone numbers
  • Billing and shipping addresses

Owner Assignment

Assign a team member as the customer owner:

  1. Open the customer profile
  2. Click the Owner field
  3. Select a team member from the dropdown

The owner receives notifications for activities and status changes related to this customer.

Tags

Apply tags to categorize and filter customers:

  • Industry tags (e.g., construction, retail)
  • Source tags (e.g., website, referral, trade show)
  • Custom tags for your organization's needs

Timeline

The timeline provides a chronological view of all interactions with a customer:

  • Activities (calls, emails, meetings, notes, tasks)
  • Status changes
  • Opportunity updates
  • Linked document changes

Each timeline entry shows the date, type, and the team member involved.

Linked Records

Opportunities

View all opportunities associated with this customer:

  • Active deals in the pipeline
  • Won opportunities (completed)
  • Lost opportunities with reasons

Activities

See all scheduled and completed activities:

  • Upcoming tasks and meetings
  • Recent calls and emails
  • Notes and internal communications

Orders and Invoices

Access financial records linked to this customer through their opportunities.

Customer Overview Table

The customers overview page displays all customers in a filterable, sortable table:
