Time Entry Approvals

Review, approve, or reject submitted time entries as a manager.

Managers are responsible for reviewing submitted time entries and either approving or rejecting them.

Approval Queue

Navigate to HR > Time Tracking > Approvals to see all time entries in SUBMITTED status for employees you manage.

The approval queue displays:

  • Employee name -- Who submitted the entry
  • Week -- The week the entry belongs to
  • Total hours -- Sum of hours for the entry
  • Linked entities -- Project, task, client, or opportunity associations
  • Description -- The employee's description of the work

Reviewing Entries

Click on an entry to view its full details, including the daily breakdown of hours and any linked entities. Verify that:

  • The hours are reasonable and accurate
  • The correct project or client is linked
  • The description adequately explains the work performed

Approving Entries

To approve an entry:

  1. Select the entry (or multiple entries).
  2. Click Approve.

Approved entries move to APPROVED status and are finalized. They become available for reporting and, if applicable, invoicing.

Rejecting Entries

To reject an entry:

  1. Select the entry.
  2. Click Reject.
  3. Provide a reason for the rejection so the employee knows what to correct.

Rejected entries return to DRAFT status, allowing the employee to revise and resubmit.

Bulk Actions

For efficiency, managers can select multiple entries and apply bulk actions:

  • Bulk Approve -- Approve all selected entries at once
  • Bulk Reject -- Reject all selected entries with a shared reason

This is particularly useful at the end of a pay period when many entries need to be processed simultaneously.
