Understanding how orders reserve inventory

Stock Reservations

Reservations ensure inventory is held for confirmed orders.

How Reservations Work

Automatic Reservation

When a sales order confirms:

  1. System checks available stock
  2. Stock reserved against order
  3. Reserved stock not available for other orders

Stock Quantities

Reservation Status

Order Line Status

Each order line shows:

Reservation Display

Product: Widget A
Ordered: 100 units
Reserved: 100 units ✓

Or if insufficient:

Product: Widget A
Ordered: 100 units
Reserved: 75 units (25 back-ordered)

Managing Reservations

Viewing Reservations

See reservations for an order:

  1. Open the sales order
  2. Go to Reservations tab
  3. View reserved stock by location

Releasing Reservations

To free reserved stock:

  • Cancel order (releases all)
  • Reduce order quantity
  • Manual release (with permission)

Reallocating Reservations

Move reservation to different location:

  1. Open reservations
  2. Select items to reallocate
  3. Choose new source location
  4. Confirm reallocation

Reservation Rules

Allocation Priority

When multiple orders compete:

  1. First confirmed gets priority
  2. Or by requested delivery date
  3. Or by customer priority

Multi-Location

If stock spans locations:

  • System allocates from nearest
  • Or from designated location
  • Can split across locations

Partial Reservations

When stock insufficient:

  • Reserve what's available
  • Mark remainder as back-order
  • Alert when more stock arrives

Back-Orders

What is a Back-Order?

Order quantity exceeding available stock:

  • Order accepted
  • Partial reservation made
  • Awaiting stock for remainder

Back-Order Processing

When stock arrives:

  1. System notifies of available stock
  2. Auto-reserve for waiting orders
  3. Or manually allocate

Best Practices

Timely Confirmation

  • Confirm orders promptly
  • Earlier confirmation = priority reservation
  • Don't hold drafts unnecessarily

Monitor Back-Orders

  • Review back-orders daily
  • Communicate delays to customers
  • Expedite critical orders

Stock Level Management

  • Set appropriate reorder points
  • Monitor reservation patterns
  • Adjust min/max based on demand
