Stock Reservations

Reservations hold inventory for a sales order so it can't be used by other orders or transfers.

How Reservations Work

Manual Reservation

Reserving stock is an explicit action — stock is not reserved automatically when an order is approved. To reserve:

1. Open the sales order (the order must be Open)
2. In the products table, choose Reserve on a product
3. Select the warehouse(s) and the quantity to reserve per warehouse
4. Confirm

The system validates each reservation:

• You can only reserve for orders in the Open status
• You cannot reserve more than the product's pending quantity on the order
• Each warehouse must have enough available stock

Order Line Quantities

Each order line tracks fulfillment quantities:

A product can be partially reserved — for example 75 of 100 units reserved, with 25 still pending until more stock is available.

Reservations are shown on the sales order, grouped by warehouse (stock site).

Releasing Reservations

To free reserved stock:

• Cancel (part of) a reservation directly on the order
• Cancelling the order or cancelling products releases their reservations

Reservations that are already assigned to a picklist cannot be cancelled directly — cancel the picklist first.

From Reservation to Picklist

Reserved stock is fulfilled through picklists. From the order you create a picklist out of reserved stock in three steps:

1. Select the warehouse
2. Select the reserved stock to pick
3. Confirm the picklist

Best Practices

Reserve Early

• Reserve stock as soon as an order is approved
• Reserved stock cannot be taken by other orders or transfers

Keep Reservations Accurate

• Release reservations for quantities you no longer expect to ship
• Cancel picklists separately when reserved stock is already assigned to one
