Creating Manual Invoices

Create invoices directly without a linked sales order.

When to Use Manual Invoices

  • Service billing
  • Consulting fees
  • One-time charges
  • Adjustments
  • Non-inventory items

Creating an Invoice

Step 1: Navigate to Invoices

  1. Go to ERP > Invoices
  2. Click New Invoice

Step 2: Select Client

  1. Search for client
  2. Select from results
  3. Client details populate:
    • Billing address
    • Payment terms
    • Tax settings

Step 3: Add Line Items

  1. Click Add Line
  2. Enter details:

  1. Line total calculates automatically
  2. Add more lines as needed

Step 4: Set Invoice Details

Step 5: Review and Save

  1. Review all details
  2. Check totals
  3. Click Save as Draft or Finalize

Invoice Settings

Payment Terms

Determines due date:

TermDue Date
Due on ReceiptInvoice date
Net 15Invoice date + 15 days
Net 30Invoice date + 30 days
End of MonthLast day of month

Tax Configuration

Apply correct tax rates:

  • Default from client settings
  • Override per line item
  • Multiple tax rates supported

Currency

For international clients:

  • Select invoice currency
  • Exchange rate applied
  • Display in client's currency

Adding Products

From Product Catalog

  1. Click Add Product
  2. Search product catalog
  3. Select product
  4. Quantity and price populate

Custom Items

For non-catalog items:

  1. Click Add Line
  2. Enter description manually
  3. Set price and quantity

Invoice Notes

Client-Facing Notes

Appears on invoice:

  • Payment instructions
  • Thank you message
  • Special terms

Internal Notes

For internal reference:

  • Billing context
  • Related project info
  • Not visible to client

Finalizing Invoices

Draft vs Finalized

Finalize Process

  1. Review all details
  2. Click Finalize Invoice
  3. Invoice number assigned
  4. Cannot be edited (corrections via credit note)

Finalized invoices cannot be edited. Review carefully before finalizing.
